Pride Veterinary Centre is a multi-disciplinary veterinary referral centre that serves as the central small animal hospital for the Scarsdale Veterinary Group, while also providing referral services to veterinary practices across the Midlands and beyond.
The hospital offers specialist services in Anaesthesia, Diagnostic Imaging, Medicine, Surgery, Neurology, Oncology, Ophthalmology, Cardiology, Exotics and Dermatology. With 24/7 veterinary care supported by our on-site Vets Now team and access to a wide range of state-of-the-art equipment, Pride Veterinary Centre provides an exceptional clinical environment.
We work closely with the University of Nottingham, welcoming veterinary students through our referral services, and as part of inspiring vet care, Pride Veterinary Centre is a key site within the UK's largest veterinary care network.
We are seeking a highly organised and proactive HR & Payroll Administrator to join our team. This role is essential to the smooth running of the hospital and practice sites, supporting colleagues with high-quality HR and payroll administration.
This is a full-time role working 37.5 hours per week, Monday to Friday.
How You’ll Make a Difference
As a HR & Payroll Administrator, you'll play a key role in supporting the smooth operation of the hospital and wider practice network, providing high-quality HR and payroll administration throughout the colleague lifecycle.
You will bring strong administrative skills and a highly organised approach. With the ability to handle sensitive and confidential information professionally, communicate effectively, and manage competing deadlines, you will contribute to a positive and efficient working environment.
Your attention to detail, confidence working with Microsoft Office and data, and collaborative, supportive approach will help ensure a high-quality service for colleagues and managers alike.
Key Responsibilities
Recruitment & Onboarding
Communicating with new starters to collect onboarding information
Managing visa requirements, including liaising with central teams and issuing or renewing Certificates of Sponsorship where required
Creating and maintaining personnel files, including right-to-work and visa documentation
Creating offers within Lever and reviewing employment contracts
Uploading new starter documentation into Dayforce
Arranging VDS cover where required
Ordering uniforms, name badges and arranging security access
Submitting IT requests for system access and equipment
Preparing new starter welcome packs
Completing first-day onboarding activities and payroll checks
HR Administration
Managing the full employee leaver process
Supporting absence management processes, reporting and system accuracy
Supporting probation processes and maintaining tracking records
Taking notes during disciplinary, grievance and other formal meetings
Maintaining accurate personnel records and compliance documentation
Delivering timely and accurate HR administrative support
Payroll
Processing overtime, one-time payments, absence-related adjustments and payroll changes
Completing monthly payroll cut-off activities and approval checks
Responding to payroll queries and resolving issues where possible
Liaising with the central payroll team on escalated matters
Reporting & Data Management
Producing regular HR and payroll reports
Supporting ad hoc reporting requests from managers
Maintaining accuracy across spreadsheets, HR systems and reporting tools
Manager Support & Process Improvement
Reviewing current processes and identifying opportunities for improvement
Supporting engagement, wellbeing and service improvement initiatives

Previous experience within HR, payroll or a similar administrative role
