Alma Veterinary Hospital in Windsor is looking for an experienced and motivated Head Veterinary Receptionist to lead our front-of-house team and ensure an exceptional client and patient experience. This is a key leadership role supporting our Director of Practice and Head Vet, helping to maintain smooth daily operations and uphold the warm, professional atmosphere our practice is known for. 
 

About the Role 


As our Head Veterinary Receptionist, you will be responsible for: 

  • Leading and supporting the reception team, ensuring excellent client care and efficient daily workflow. 
  • Overseeing the client journey from first contact through to follow-up, ensuring gold-standard communication and service. 
  • Managing the Pet Health Club, including membership growth, renewals, client communication and administration. 
  • Supporting with staff rotas, helping to ensure appropriate reception cover and smooth practice operations. 
  • Providing administrative support to the Practice Director and Head Vet, including reports, compliance tasks, and practice coordination. 
  • Working closely with the Practice Director and Head Vet to support operational planning, team coordination and practice development. 
  • Handling escalated client queries with empathy, professionalism and confidence. 
  • Ensuring reception processes are effective and compliant, including diary management, payments, and data accuracy. 
  • Supporting staff training, performance feedback and fostering a positive, collaborative team culture.

    About You 


    We’re looking for someone who is: 

  • Experienced in a veterinary or medical reception environment (leadership experience strongly preferred). 
  • A natural organiser with excellent communication and multitasking skills. 
  • Confident managing people, processes and busy frontline environments. 
  • Compassionate, calm and client-focused—even on the busiest days. 
  • Tech-savvy and comfortable with practice management systems. 
  • Passionate about delivering outstanding service to pet owners and supporting the clinical team.

    Your shift pattern


    You will work 37.5 hours per week, covering a mix of early and late shifts from 8 am – 7 pm, plus 1:4 Saturday mornings.
