Our practice is seeking an enthusiastic and dedicated receptionist to join us at an exciting time as we prepare to re-open our practice! As a receptionist, you will play a key role in ensuring our clients receive a warm welcome and efficient service.
Your responsibilities will include:
Greet all visitors professionally, courteously, and warmly.Answer calls promptly (within 3 rings) and handle inquiries professionally.Provide excellent customer service by educating and informing clients in a sympathetic, professional manner.Follow 5 key call-handling steps:1. Answer, introduce yourself, and ask how you can help.
2. Understand the inquiry, get the client's and pet's names, and use them.
3. Provide explanations, not just prices.
4. Show interest and warmth toward the pet.
5. Offer appointment options and convert inquiries to appointments when possible.
Manage appointment diary efficiently to maximize client bookings.Record and follow up on inquiries promptly and accurately.Enter new client details, update vaccine/contact information, and note relevant details in the system.Ensure invoices are correct and secure payments on the day of treatment.Schedule follow-up appointments to complete treatment plans, ensure satisfaction, and rebook missed appointments.Promote practice services, healthcare plans, insurance, and promotional offers.Keep the reception area clean and ready for the next day.Follow all practice policies and procedures for top customer service.Take responsibility for personal development through courses and self-study.Contribute to marketing targets and practice success.Comply with Health & Safety regulations and report any issues with equipment.Assist with stock orders and participate in biannual stock takes.
Duties:
Perform administrative and reception tasks, including booking, cancelling, and changing appointments.Manage payments (cash/card) and handle insurance claims and installment queries.Perform cash exchanges, end-of-day banking, and debt control.Attend reception meetings and dispense medications/prescriptions.Update client/patient records, manage clinic emails, and liaise with charities.Ensure daily paperwork (lab reports, consent forms, vaccination paperwork) is completed.Maintain stock levels, keep products well-stocked and clean, and ensure sufficient till change for the next day.Organize post, prepare consent forms, and send reminders for boosters, flea treatments, and wormers.Manage Pet Healthcare Plan paperwork and send debt letters.Perform any additional tasks as requested by the Practice Manager or Senior Leadership Team.

You'll be joining a small, close-knit team, working alongside a Senior Registered Nurse and Lead Vet Surgeon, with plans to grow as our client base expands. Plus, you'll have the support of the Practice Manager from our sister branch, Alcombe Ealing.

Working pattern
Your shifts will be either 8:30 am-5:00 pm OR 9:30 am-6:00 pm.
