As the Global Travel and Expense Lead in our shared services environment, your primary responsibility is to lead and oversee all aspects of travel and expense management for IVC on a global scale. You will be responsible for supporting in the development and implementation of strategies, policies, and procedures to optimize travel arrangements and control expenses across multiple locations. 

Your role is critical in ensuring consistent and efficient expense tracking and compliance with company policies and industry regulations in a GBS model. The role owner leads the communication, user engagement and Voice-of-the-Costumer engagement for Travel and Expense.

Key Accountabilities/Responsibilities: 

Expense Management:
  • Develop and implement global expense management strategies and guidelines in alignment with shared services objectives.
  • Drives the Corporate card strategy (with Procurement) and the respective Operation and communication with the business.
  • Establish standardized expense reporting systems and tools across multiple locations.
  • Ensure accurate and timely processing of expense reports globally.
  • Review and analyse expense reports for compliance, accuracy, and cost efficiency on a global scale.
  • Identify and address potential fraudulent or non-compliant expense claims across regions.
  • Provide guidance and support to market teams regarding global expense policies and procedures.
  • Monitor expense trends globally and identify opportunities for cost savings and process improvements.
  • Work with HSBC, Treasury, P2P and Payments teams to deploy a global standard for credit cards and P-Cards.

  • Compliance and Risk Management:
  • Ensure compliance with internal policies, legal regulations, and tax requirements across all regions.
  • Stay up to date with travel and expense industry regulations and changes globally.
  • Conduct audits and reviews to identify compliance issues across regions and recommend corrective actions.
  • Collaborate with regional and local finance teams to mitigate financial risks and ensure accurate expense reporting.
  • Develop and implement consistent internal controls to minimize fraud and abuse in a shared services environment.

  • Reporting and Analysis:
  • Prepare and analyse regular reports and dashboards on global travel expenses, cost savings, and compliance metrics.
  • Consolidate and analyse travel and expense data from multiple regions to identify patterns, trends, and areas for improvement.
  • Provide insights and recommendations to management based on global data analysis.
  • Track and report key performance indicators (KPIs) related to travel and expense management globally.
  • Present findings and reports to global management and stakeholders.

  • Team Leadership and Collaboration:
  • Build, lead and manage a team responsible for global travel and expense management functions within a shared services model.
  • Foster a collaborative and high-performance culture within the global team.
  • Provide guidance, training, and support to team members across regions.
  • Collaborate with regional teams, as well as other shared services functions, to streamline processes, share best practices, and drive efficiency globally.
  • In particular work with the global process owner for P2P to align on the end-to-end process design and improvement roadmap.

  • Experience/Qualifications:

  • Bachelor's degree in business administration, finance, or a related field (MBA preferred).
  • Proven experience in global travel management, expense management, or related roles in a shared services environment.
  • Strong knowledge of travel industry trends, regulations, and best practices on a global scale.
  • Proficient in data analysis and reporting using tools.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines across multiple regions.
  • Strong attention to detail and accuracy in a complex global environment.
  • Excellent communication and collaboration skills to effectively interact with stakeholders at all levels globally.
  • Leadership and team management abilities in a diverse and multicultural setting.
  • Analytical thinking and problem-solving skills in a shared services context.
  • Familiarity with travel and expense management tools and technologies used in a shared services environment…. preferably with experience using Concur
